Important: These Terms of Service govern your use of our website and services. By accessing our website or engaging our services, you agree to be bound by these terms.

3.3 Submitting and confirming through a personal link

Whatever the Client has to submit to us, approve or view goes through a personal link that we send by email. The Client receives no account and no password for this: that is a deliberate choice, so that nobody on the Client's side has to learn a system.

It follows that whoever holds the link can perform the corresponding action. An action performed through a valid link counts between the parties as performed by or on behalf of the Client. The Client ensures that a link only reaches the person it is intended for, does not forward it, and does not place it in a shared mailbox or shared environment.

A link is intended for one action, is issued in the recipient's name and expires on its own. If the Client suspects that a link has reached someone else, the Client tells us; we then revoke the link and issue a new one where needed. For every action we record the IP address it came from and the moment it happened; see our privacy statement.

3.4 Time recording through the link

Hours the Client submits through a personal link are recorded per work package with a single date. Someone who worked on the same work package on several days therefore submits the total against one date.

This is a deliberate simplification and not a shortcoming. It makes no difference to the comparison of hours spent against the recorded baseline: that comparison is made per work package. It does carry through in three places, and the parties are aware of this: at a month boundary hours may fall into the wrong reporting period, a time administration of the Client's own will not reconcile one to one, and a distribution per person per day cannot be derived from it.

If the Client needs a record per day, we will set it up so that their staff book directly in the project environment. That is then the Client's choice and not a condition of ours.
